IT Manager

POSITION: IT MANAGER
REPORTING TO: PEOPLE CHIEF OFFICER
LOCATION: Athens, Greece Headquarters

Variety Cruises is a 360 vertically integrated small ship operator creating, operating, distributing, and delivering unforgettable experiences for our customers. VC operates in 13 destinations, including Greece, the Adriatic, Tahiti & the Seychelles.

DUTIES & ACCOUNTABILITIES

  • Manage information technology and computer systems
  • Plan, organize, control and evaluate IT and electronic data operations
  • Design, develop, implement and coordinate systems, policies and procedures
  • Ensure security of data, network access and backup systems
  • Act in alignment with user needs and system functionality to contribute to organizational policy
  • Identify problematic areas and implement strategic solutions in time
  • Supervise the Satellite internet and telecommunication systems onboard vessels and providing support where needed
  • Maintaine and update the on-vessel entertainment TV boxes, installing new movies etc
  • Provide technical support for the computer systems onboard the vessels
  • Repair and replace equipment as necessary both in office and on vessels
  • Supervise the office camera system (CCTV)
  • In charge of the office alarm system and liaison with the alarm company 24/7

QUALIFICATIONS

  • Bachelor’s degree in IT, computer science, or a related field
  • A minimum of 3 years of experience in IT management
  • Knowledge of industry-standard computer hardware and software systems
  • Experience with network administration
  • Proven experience with software platforms, including Microsoft 365
  • Excellent knowledge of the English language written and verbal

POSITION: CREW OPERATOR
REPORTING TO: CREW MANAGER

DUTIES & ACCOUNTABILITIES

  • Cooperating with Manning Agents informing about open vacancies and related requirements
  • Cooperating with Port Agents regarding arrangements for crew member’s embarkation/disembarkation
  • Arranging for the timely dispatch of all correspondence to/from ships
  • Check Crew Members Licenses, Certificates based on STCW/SHIPS MINIMUM SAFE MANNING requirements ]
  • Planning Crew Changes
  • Maintain COMPANY’S/ISM forms related to seafarers
  • Keeping personnel files/ Crew Rotation Plan/ Ships’ Manning Guide up-to-date
  • Ticketing for seafarers/ technicians/company’s representatives of Operations &Technical Department
  • Filling Seafarers’ documentation (medicals, employment forms)
  • Drafting employment Contracts
  • Check Invoices Related to Crew/ Operation Expenses
  • Check Uniforms arrangements /order /appointment with the purchasing Dpt.
  • Arranging potential crew and meetings office
  • Maintain and update records of crew changes
  • Perform such other functions as may described by the Crew Manager

QUALIFICATIONS

  • Bachelor Degree in Shipping / Business Studies

Reservations Executive

POSITION: RESERVATIONS EXECUTIVE
REPORTING TO: RESERVATIONS MANAGER

DUTIES & ACCOUNTABILITIES

  • Checking the availability of the cabins
  • Making reservations for worldwide markets
  • Handling direct customers throughout the booking journey from booking request to embarkation and thank you letter post-cruise: assisting and advising passengers, processing payments, charging credit cards, payment accounting report, answering any questions passengers might have, meeting passengers at the time of boarding, add bookings, issue invoices)
  • Handling passengers with outstanding bills which need to be settled (onboard expenses – cooperation with Accounts department on credit card payments that weren’t processed on board
  • Arranging pre-post transfers or hotels if requested

QUALIFICATIONS

  • Bachelor’s degree in Tourism / Business Studies
  • Excellent knowledge of the English language written and verbal. Any other language is a plus
  • Computer software literacy
  • Experience in Tourism would be an asset

Port Captain

DUTIES & ACCOUNTABILITIES

Assisting the Operation Manager in his duties.
• Maintaining nautical standards onboard vessels and implementing suitable controls by adopting improved navigation practices, equipment, training and procedures.
• Supervising and monitoring all aspects of assigned vessel operation including navigation, cargo/ballast handling, safety and environmental protection aspects, etc. to ensure that these are carried out in compliance with the Company’s requirements and maritime rules, regulations and Industry Standards for a flawless, efficient, competitive and customer focused operation.
• The effective implementation of preventive maintenance of the vessel’s hull, deck equipment, etc, as described in the PMS and set by the Class/Flag State requirements.
• The timely correction/rectification of any outstanding items related to the SMS.
• Inspecting managed vessels in port and en-route and providing specific instructions to the Officers for issues pertaining to the SMS.
• Making recommendations for rectification of deficiencies or improvements to the existing situation.
• Monitoring of the Flag State and PSC requirements and following-up of third party inspections’ results.
• Checking the passage plans of the vessels.
• Tracking and analysing shipboard navigational audit reports and addressing the findings to the Operations Manager.
• Close monitoring/assessing of embarkation/disembarkation procedures, as well as the embarkation supplies plan.
• Matters related to approval from authorities, safe navigation, etc.
• Monitoring the inventories of mooring equipment, safety equipment, life saving, fire fighting equipment and portable instruments.
• Attending third party inspections.
• The promotion of the SMS Policy and culture on board vessels.
• Demonstrating his commitment to safety and environmental excellence, by his behaviour.
• Ensuring that navigation and work related to safety onboard are carried out according to the SMS.
• Ensuring that the working conditions onboard are safe.
• Motivating vessels’ personnel for continuous improvement and encourage enhancement of performance.
• Performing internal audits.
• Assisting in the investigation and analysis of accidents, incidents and serious near misses.
• Reviewing all reports of non-conformities, incidents or near misses received by the vessels assigned to him and following-up the implementation and verification of corrective/preventive actions process inclusive their effectiveness.
• Suggesting to the DPA possible improvements/modifications of the SMS.
• Participating in the Management Review Meetings, as delegated by the Chief Marine Officer.
• Participating in the Emergency Response Team, as delegated by the Chief Marine Officer.
• Keeping abreast with the Statutory and Class regulations and standards.
• Conducting inspections in accordance with the SMS requirements.
• Monitoring assigned vessels’ condition.
• Inspecting assigned vessels, monitoring their condition and preparing condition/attendance reports, including any comments on cargo operation, crew performance, etc.
• Issuing maintenance instructions (job orders) following vessels’ inspections.
• Following-up all reports of assigned vessels’ condition and performance.
• Assisting the shipboard personnel to eliminate problems and/or malfunctions.
• Developing efficient repair methods and evaluating/selecting, in cooperation with the Technical department, quality sub-contractors.
• Attending repairs and Dry Dockings, as deemed necessary.
• Attending and sailing with vessels to solve operational problems aboard, as deemed necessary.
• Planning vessels’ equipment maintenance as allowed by the vessel’s itinerary and schedule and in accordance with the SMS procedures.
• Monitoring and processing the Planned Maintenance System for life saving appliances and fire fighting equipment.
• Attending delivery of new acquisitions.
• The seafarers level of onboard training and the monitoring and execution of scheduled drills.
• Monitoring and evaluating the performance of the seagoing personnel and reporting accordingly to the Crew Manager.
• Familiarising new shore staff and providing in-house training to the Masters, Chief Engineers and Officers with the requirements of the SMS.
• Participating in the briefing and de-briefing of Masters, Chief Engineers, etc. before and after appointment, as per the SMS relevant procedure.
• Identifying the need for crew training.
• Conducting on board training.

QUALIFICATIONS

• Degree in Shipping or Master’s License
• Postgraduate Degree will be considered as an asset
• Excellent Knowledge of English language written and verbal
• Ability to use computer software
• Experience in Flag and Port state inspections

Cruise coordinator

POSITION: CRUISE COORDINATOR
REPORTING TO: HOSPITALITY MANAGER

DUTIES & ACCOUNTABILITIES

  • Responsible for the wellbeing of the guests
  • To be actively involved to the overall success of the cruise experience
  • Preparation of cruise material ahead of cruise and in-depth learning of the ports visited
  • Welcoming guests and assisting in their cabin accommodation and during embarkation/disembarkation procedures
  • Presentation of our Captain and Crew during the welcoming briefing, the lifeboat drill demonstration, the life on board and ashore topics
  • Planning/Conducting and supervising every day’s detailed program
  • Information and presentation of the ports of call (soft daily lectures, power point etc)
  • Excursions (promotion, booking, supervision, invoicing) and other booking arrangements when occurring
  • Reporting daily to Hospitality Manager and forwarding detailed weekly reports and shore excursion settlements
  • Promoting company’s cruise programs and the benefits of repeater guests
  • Overall striving to deliver an excellent cruise experience

QUALIFICATIONS

  • Bachelor’s Degree in Tourism or History – Archaeology or similar
  • Excellent knowledge of the English language written and verbal
  • Additional language will be an asset (French – Spanish – German)
  • Ability to use modern computer software
  • At least 2-3 years’ experience in similar guest-oriented positions preferably at sea (river or small ship cruises) or previous experience as tour leaders on escorted multi day group land tours
  • Ability to travel
